In VolunteerMatters, if you have a project that you want to allow group participation, you just need to configure the project settings to allow Group Sign-Up. Once you have configured Group Sign-Up, you can also configure the Group Sign-Up Mode which determines the method of attributing credited hours for this project. The options are "Individual Credited" and "Leader Credited". The leader is the volunteer who signed up the group. With "Individual Credited", the leader only gets credited for the hours they themselves worked. So if the leader signed up 5 people (including themselves) for a 5 hour shift they would just get 5 hours. With "Leader Credited", the leader gets credited for the total hours the group worked. So if the leader signed up 5 people (including themselves) for a 5 hour shift they would get 25 hours (5 hour shift times 5 volunteers).
To set up a project to allow group shift sign-ups and set the mode, you will need to edit the project in question, and then toggle the "Enable Group Sign-Up for Shifts" and select the mode via drop-down under Settings:
- Log into your VolunteerMatters system with the proper security access roles and then click "Projects" (Briefcase Icon) from the main menu.
- On the Project you wish to enable Group Sign-Up, click the "Dashboard" button (
).
- Click the "Manage" drop-down button (
) and select "Project Setup".
- Click the "Edit" button (
) under the project summary panel.
- Scroll down to "Settings" area and toggle the "Enable Group Sign-Up for Shifts" and the "Group Sign-up Mode" settings.
- Click "Save"
Now when the registered volunteer representative for the group goes to that project page and goes to sign up for a shift, they will see the following:
Where they will need to enter the number of volunteers they are bringing. This will reduce the available number of slots on the shift by the number they enter.
Notes:
- If a group needs to lower that number, the person who signed up can only withdraw, which removes the total number he/she pledged to bring, and then re-signup with the different number. An administrator can manually update the number on their behalf as well.
- This also only collects credential information from the single registered representative. If policy dictates you may need to have volunteers sign waivers on site before volunteering.
- The total hours for the assignment is set via the "Group Sign-up Mode" setting. As a reminder, the options are "Individual Credited" and "Leader Credited". The leader is the volunteer who signed up the group. With "Individual Credited", the leader only gets credited for the hours they themselves worked. An Administrator and/or Organizer can also edit the Credited Hours any time after the assisgnment.
