Reviewing Project Applicants

Once a volunteer completes a project application, Project Administrators and Organizer Admins, assigned to the project, can review and manage applicants directly from the project.

The Project Applicants page allows administrators to:

  • Review submitted applications
  • Approve or decline applicants
  • Return applications for revisions
  • Identify credential issues
  • Filter and search applicants
  • Export applicant information
  • Send email or text communications to applicants

Accessing Project Applicants

  1. Navigate to the desired project.
  2. Click Manage.
  3. Select Project Applicants.

This opens the Project Applicants page for the selected project.

Understanding the Project Applicants Page

The Project Applicants page displays a table containing:

ColumnDescription
Application StatusCurrent status of the application
ContactVolunteer/applicant name
Contact StatusCurrent status of the volunteer contact record
Application Created DateDate the application was submitted
Application Last Modified DateMost recent update to the application
Credential IssuesIndicates any unresolved project-level credential requirements

 

Important

A volunteer must meet both of the following requirements before they can view and sign up for project needs:

  • Application Status must be Approved
  • Project-level credentials must be Approved or Exempt

Volunteers may still need to complete additional credential requirements assigned directly to specific project needs.
 


Filtering Project Applicants

Project Administrators and Organizer Admins can filter applicants using the following options:

Searching Applicants

Use the search box to further filter the onscreen results.

The search will match information displayed within each application record.
 

Exporting and Accessing Contacts

Administrators can:

  • Export applicant information
  • Click an applicant’s name to open the Contact record (Organizers without the Contact Administrator role, will only have view only access of the contact record).

 



Viewing an Individual Application

To review a specific application:

  1. Locate the applicant in the list.
  2. Click Edit next to the application.

Project Applicant Detail Page

The detail page includes both applicant information and submitted application responses.
 

Volunteer Applicant Information

The following information is displayed:

  • Name
  • Contact Status
  • Application Status - Submitted, Returned, Approved, Declined
  • Archived toggle - Archived applicants will not be shown in the applicant list by default. However, an archived applicant may still participate in the project.

Application Status Options

StatusDescription
DraftThe volunteer started the application but has not submitted it
SubmittedThe volunteer submitted the application for review
ReturnedThe application was returned to the volunteer for revisions and resubmission
ApprovedThe volunteer may access project needs (assuming project credentials are also complete)
DeclinedThe volunteer cannot access or sign up for project needs


Application Information 

This section displays all submitted responses required by the application.

Note: For System Custom Contact Fields, the data will also be available via their contact record, via contact filters and fields on the various pages (Contact Detail, My Profile, etc.) and contact list views. For project application specific custom fields, they are only visible on this Project Applicant detail page.  
 



Updating Application Status

Administrators can update application statuses in two ways:

Update an Individual Application

From the Project Applicant Detail page, administrators can:

  • Approve
  • Return
  • Decline
  • Archive
  • Move back to Submitted

Bulk Update Applications

From the Project Applicants main page:

  1. Select one or more applicants using the checkboxes.
  2. Click:
    • Approve Selected
    • Un-approve Selected

Bulk Action Limitations

Bulk actions only support:

  • Approving applications
  • Moving applications back to Submitted

Bulk actions cannot:

  • Decline applications
  • Return applications
  • Archive applications

Notifications and Communication

Application status changes do not trigger automated notifications.

Administrators should manually notify volunteers when:

  • An application is approved
  • An application is declined
  • Additional revisions are required

Communication Options

From the Project Applicants page, administrators can:

  • Send Email messages
  • Send Text Messages*

*Text messaging availability depends on your organization's configuration.
