Updating an Account Recovery Email for a Volunteer

In VolunteerMatters, only End Users have the ability to update their Username or Account Recovery email, and this can only be done while they are logged in. However, there may be instances where a volunteer is unable to log in and does not have access to the recovery email needed to reset their password. To address this issue, the system administrator can separate the Contact Record from the Site User Record (which pertains to system login), enabling the volunteer to link their contact record to a different email address.

To assist your volunteers in linking their new email/site user record to their existing contact record, please follow the steps outlined below.

 

Connecting Contact Record to New Site User Record

  1. Log into your VolunteerMatters system with the Contact Administrator access and then click on Contacts.

  2. Navigate to the contact you wish to update and click on their name or the 'View' icon (View_Button). Either will take you to their contact record.

    For locating the desired contact you can utilize existing List ViewsAdvanced Search, or Quick Find.  For more information on filter options click here

  3. This will open the Contact Detail page. At the top of the screen, click the 'Edit' button (Edit_Button).

  4. This will open the Contact Detail edit page. Scroll down and locate the Email field. Update the email address with the new email and scroll down to the bottom of the screen and click the "Save" button (Save_Button).

    Note: The placement of this field depends on configuration of your Contact Detail page. For more information on customizing your page views click here.

  5. From this point on it is on the volunteer.  Instruct them to visit your registration page URL ((https://customercode.volunteermatters.org/register*), and enter their new email address, first name, and last name and click the 'Continue' button (Continue_Button).

    *Note: Customer Code is the typically the base domain of your website URL.  So if your website is www.myawesomesite.com your customer code would be "myawesomesite".  You can also obtain your customer code from your VolunteerMatters System URL. For more information submit a support ticket via email.

  6. This will open the "Verify Account Email" informational page for the volunteer, including the next step which is Email Verification.  If the email address they entered is incorrect, there are links available to start over and enter the correct email.  Otherwise, the volunteer should go to their email client.

  7. Within their email client, they need to locate the email from your VolunteerMatters system with the subject "Please verify your email address"*. Open the email, and click the "Verify Email" button or copy and paste the link into their browser.

    *NOTE: This is the default subject line for this email template. With some VolunteerMatters subscription levels this is customizable, so make sure to relay to your volunteer the subject for your system.

  8. This will open the "Set Password" page with an informational message that the new account was created. Here the volunteer can either set their password, or skip password reset (they can always reset from the reset password utility from the login screen). This is a new site user record, so the password will not be the same from their previous account.

  9. Either option will open the Registration page with the volunteer's information already pre-populated from their contact record. If they are missing any required fields from the registration form they will need to fill out to submit. Once the registration form is set, they can click the 'Continue' button (Continue_Button) and they will automatically logged in with their original contact record now connected to their new site user record.

Please note, the volunteer will receive the Registration Confirmation email again as well will any Administrator with instant Volunteer Registration notifications configured on their account.
